This is our vision for a state-of-the-art Polkadot event booth designed to elevate the ecosystem’s presence at major blockchain events.
We propose developing a premium, modular event booth that will serve as Polkadot’s flagship presence at major blockchain events. This sophisticated installation goes beyond conventional corporate presentations, offering an immersive experience that makes Polkadot’s innovative technology tangible and accessible to diverse audiences.

Thank you for your proposal. Our members would like to learn more about it. While we understand that the primary goal is to build a booth and create a branding space, we may have missed some details during the discussion. Our members have raised concerns that there’s more to consider than just construction. For example, who will be using this? Who will store it, and where will it be kept? Additionally, is there an operational management plan in place to organize the distribution and utilization? Our members express that "We cannot just fund a project without the consideration of the ownership." We look forward to hearing more details.

Ownership & Stewardship
While the primary purpose of this booth is to serve the Polkadot community and highlight the network’s technology, we propose that the Polkadot community (via an appropriate representative entity or foundation) would maintain ultimate ownership. The key is to ensure this asset is always available for official Polkadot activities and that it remains part of the network’s shared resources.
Custodianship & Care
Our agency will serve as the initial custodian responsible for design, fabrication, and logistical arrangements during the initial rollout. Once the booth is complete, we will hand over ownership and coordinate with the community on the specifics of permanent and interim storage, usage guidelines, and sign-out procedures.
Usage & Access
The booth is intended to be a shared community resource, accessible to various Polkadot ecosystem teams (parachains, wallets, tooling providers, events planners) for educational and marketing purposes.
A clearly defined process will be established in collaboration with the Polkadot community. This process may involve setting up a request form or calendar system for teams that would like to use the booth at upcoming events.
Regional & Global Events
We expect the booth to be primarily deployed at European events initially, but we intend to expand usage to international events if shipping and logistical costs permit.
Storage & Logistics
After the booth has been built, we will arrange a suitable, secure, and climate-controlled storage facility (at our headquarter in Wiesbaden, Germany, where our agency is based). The facility will be optimized to allow quick dispatch to and from major event locations.
Transportation: Our agency has partnerships with specialized event logistics companies. Together, we will manage the transportation, assembly, and disassembly of the booth. Detailed operational guidelines will be provided to ensure the booth’s components are safeguarded, easily shipped, and reassembled wherever needed.
Operational Management & Maintenance
A structured operational management plan is key to ensuring that the booth is efficiently utilized, well-maintained, and always in top condition.
Ensuring Community Value & Transparency
Given that the funding for this project would come from the community, transparency is paramount.
Regular Usage Reports: After each deployment, we would publish a short performance report summarizing the event, the audience engaged, and any tangible outcomes (e.g., new leads, media coverage, community feedback). Financial Accountability: We will provide detailed cost breakdowns for the initial build and any significant future upgrades or overhauls.
Flexible Adaptation: The booth’s design and content can evolve in response to community feedback, ensuring it remains a relevant and effective promotional tool for Polkadot.
